Executive Assistant & Special Projects Coordinator

We are seeking a highly trusted, detail-oriented, and adaptable professional to serve as our Executive Assistant & Special Projects Coordinator. This role is ideal for someone who thrives in a fast-paced, visionary environment and enjoys translating big ideas into actionable plans. The ideal candidate will serve as an important task manager to executive leadership, manage high-level projects, and step in to coordinate impactful events when needed. You’ll be the connective tissue across our team, helping organize priorities, drive strategy forward, and bring creative ideas to life with precision and care. This is a part-time position 20-30 hours per week.

Executive & Organizational Support
Manage the Executive Director’s calendar, email, and communications with professionalism and discretion.
Coordinate annual organizational planning, travel logistics, internal scheduling, and key stakeholder meetings.
Serve as a critical support to the Director of Operations, especially in onboarding and internal systems for Plywood and Plywood Place.
Maintain order of legal documents, digital assets, and purchasing records.
Serve as a strategic thought partner to executive leadership by helping prioritize initiatives and move ideas from concept to execution, while helping be a liaison to the team through daily communication.
Special Projects Leadership
Lead and project manage initiatives driven by the Executive Director, including fundraising initiatives and partnerships.
Act as the lead Research & Development coordinator, providing insight and structure to new ideas and experimental initiatives.
Draft, edit, or contribute to creative writing projects, presentations, and partnership proposals as needed.
Be available for highly influential leaders, board members and community members to actively be a problem solver.
Event & Community Engagement (Secondary Focus)
Coordinate key organizational events including fundraising initiatives like the Annual Plywood Auction.
Support the planning and execution of in-house programs and community events at Plywood Place in partnership with other team members.
Oversee event logistics including volunteer recruitment, scheduling, and vendor coordination as needed.

Bachelor’s Degree required; preferred fields include English, Communications, Social Entrepreneurship, or Writing.
3–5 years of experience in executive assistance, project management, or a related role.

Strong organizational and time-management skills with the ability to juggle multiple priorities.
Proficiency in digital tools and platforms for communication, scheduling, and collaborative project work.
Project management expertise with a bias for execution, attention to detail, and creative problem-solving.
Excellent written and verbal communication; comfortable handling confidential information.
Strategic thinker who is relational, resourceful, and deeply aligned with the mission of Plywood People.
